Special starting offer

Renewals on Time Program

A special starting offer for Salezx Service Renewals

For 60 days, we run renewals on every service contract due in the next 60 days, with your team, every week.

Every contract due has an owner and a next step. Every action sits in your team’s Outlook To-Do. Every customer hears about the renewal before the contract ends, and every decision is recorded.

Why it’s important

Most service contracts don’t lapse because the customer is unhappy. They lapse because the renewal reached the customer late, or a third-party service provider called first.

Each lapsed contract costs twice: the contract value this year, and the parts and service business that usually follows it.

Great salespeople win deals. Great sales operations win consistently. Week after week, the small things get done, and the big numbers follow.

How your week runs

Monday

  • Each owner gets their renewals list: contracts ending in the next 30, 60 and 90 days, plus any that ended recently without renewal.
  • Every contract has one action: a renewal email, a call or a visit. The owner approves the list.
  • Every approved action becomes a task in Outlook To-Do.

Through the week

  • Renewal emails are prepared from your approved template and go out once the owner approves them.
  • Customer replies are read and each decision is recorded: renewing, reviewing, or not renewing (with the reason).
  • When a task is completed in To-Do, the tracker updates on its own.

Before each end date

  • We check your renewal orders. If a contract is not renewed 15 days before it ends, the owner is told, and the manager at 7 days.

End of week

  • A weekly recap for your sales or service lead.
  • A 30-minute review with our account manager: renewed, pending, at risk, lapsed and why.

Why Outlook To-Do

Your team doesn’t learn a new system. Every action appears in the Outlook To-Do list they already have on their phone and laptop. When a task is completed, the tracker updates by itself, so the manager sees what was done without chasing anyone.

The 60 days, week by week

  1. Week 0: Setup

    • A kickoff with your program owner.
    • Scope agreed: the service contracts due in the next 60 days, and who owns each one.
    • First reports received. One-time IT approval for Outlook To-Do.
  2. Week 1: Baseline

    • Starting position recorded for the service contracts in scope.
    • First Monday lists go out and To-Do tasks are created.
  3. Weeks 2–4

    • The weekly cycle runs: lists, actions, replies, checks, recap and review.
  4. Day 30

    • Owner review: results so far, and any changes to rules or timings.
  5. Weeks 5–8

    • The weekly cycle continues, with escalations on anything still slipping.
  6. Day 60

    • Owner review: final report, results against the agreed measures, and the decision on next steps.

What you get

  • A renewals list for every owner, every Monday
  • Renewal emails from your template, ready to approve
  • Every action as a task in Outlook To-Do
  • A renewals tracker: every contract, its owner, its action, the decision and its status
  • A weekly recap and a 30-minute weekly review
  • Two owner reviews, at day 30 and day 60
  • A final 60-day report, which is yours to keep

Clearing your backlog

Old service contracts can be part of the 60 days: service contracts that lapsed in the last 6 to 24 months, and contracts with missing end dates or owners. Each one gets an owner, an action and an outcome, and the final report shows what came back and what should be closed.

What we need from you

A program owner
your VP of Sales or VP of Service, named at kickoff.
Your reports
Your contract register (customer, equipment, value, start and end date) and your renewal orders report, every week, as Excel.
Who owns what
which customers each person looks after.
Up to 5 management and service users
for the weekly recap, escalations and the full tracker.
One-time IT approval
Microsoft 365 access so tasks can be created in Outlook To-Do. About an hour of your IT team’s time.
A 30-minute weekly review
attended by your program owner.
Your team
about 20 minutes a week to approve their list, then mark tasks complete in To-Do as they work.

How we will measure success

What we measure and report to you

Starting position recorded in week 1

  • Share of contracts due with an action completed each week
  • Renewal emails sent, and how many days before the end date
  • Contracts renewed on time, by number and by value
  • Contracts lapsed, with the reason

Success measures agreed for this program

  1. 1

Every owner receives the renewals list every Monday for 8 weeks.

  2. 2

At least 80% of contracts due have an action completed each week.

  3. 3

Every contract ending in the 60 days has a renewal email sent and a decision tracked before it ends.

  4. 4

Fewer contracts lapse without a decision than in the 60 days before.

What you can count on

  • Live in about a week. 5–7 hours of your IT team’s time. We do the setup.

  • Nothing reaches a customer without your approval. Every email comes from your templates, and your team approves it.

  • Your data stays in your environment. It is not used to train AI models, and access can be revoked at any time.

  • Success measures agreed on day one. You see progress every week, and a full report at day 30 and day 60.

  • Nothing new for your team to learn. Actions arrive in the Outlook To-Do they already use.

  • Start small. Start with your first 500 items. Keep every report, whatever you decide.

Your questions, answered

Actions arrive in the Outlook To-Do they already use, and approval takes about 20 minutes a week. Usage is reported every week, so you see it early.

What comes next

  • Another desk, working on the same data
  • You choose whether your team keeps working from Outlook To-Do or from the CRM

After 60 days

  • Continue: move to the annual desk at your volume. The weekly cycle keeps running without a break.
  • Stop: you keep the final report and all lists and trackers. Our access ends, and your data is deleted within 30 days.

Your data, and what we don’t do

  • We read only what you share, and use it only for this program.
  • Your data is not used to train AI models.
  • We never change contract terms or prices on our own.
  • We don’t change anything in your ERP or service system.
  • We contact your customers only through messages your team has approved.
