Special starting offer

Cash on Time Program

A special starting offer for Salezx Collections

For 60 days, we run collections on your first 500 open invoices, with your team, every week.

Every invoice has an owner and a next step. Every action sits in your team’s Outlook To-Do. Every customer is reminded on time, every payment commitment is checked on the day, and you see the results every week.

Why it’s important

Most late payments don’t come from bad customers. They come from good customers who weren’t reminded in time, or whose invoice got stuck on a question about a PO, a price or a delivery.

Month-end then becomes a scramble, and new orders for those same customers wait on credit.

Great salespeople win deals. Great sales operations win consistently. Week after week, the small things get done, and the big numbers follow.

How your week runs

Monday

  • Each owner gets their collections list: invoices due in the next 30, 60 and 90 days, plus anything past due.
  • Every invoice has one action: an email, a call or a visit. The owner approves the list.
  • Every approved action becomes a task in Outlook To-Do, with the customer, amount and due date.

Through the week

  • Reminders go out once the owner approves them.
  • Customer replies are read. Payment commitments and partial payments are recorded.
  • When a task is completed in To-Do, the tracker updates on its own.
  • Disputes go to the named person in finance.

On each commitment date

  • We check your receipts report. If the payment hasn’t arrived, the owner is told the same day, and the manager if it slips again.

End of week

  • A weekly recap for your sales or finance lead.
  • A 30-minute review with our account manager: collected, committed, actions not taken, escalations.

Why Outlook To-Do

Your team doesn’t learn a new system. Every action appears in the Outlook To-Do list they already have on their phone and laptop. When a task is completed, the tracker updates by itself, so the manager sees what was done without chasing anyone.

The 60 days, week by week

  1. Week 0: Setup

    • A kickoff with your program owner.
    • Scope agreed: your first 500 open invoices, and who owns each one.
    • First reports received. One-time IT approval for Outlook To-Do.
  2. Week 1: Baseline

    • Starting position recorded for the invoices in scope.
    • First Monday lists go out and To-Do tasks are created.
  3. Weeks 2–4

    • The weekly cycle runs: lists, actions, replies, checks, recap and review.
  4. Day 30

    • Owner review: results so far, and any changes to rules or timings.
  5. Weeks 5–8

    • The weekly cycle continues, with escalations on anything still slipping.
  6. Day 60

    • Owner review: final report, results against the agreed measures, and the decision on next steps.

What you get

  • A collections list for every owner, every Monday
  • Every action as a task in Outlook To-Do
  • A collections tracker: every invoice, its owner, its action and its status
  • Payment commitments and partial payments recorded and checked on the day
  • A weekly recap and a 30-minute weekly review
  • Two owner reviews, at day 30 and day 60
  • A final 60-day report, which is yours to keep

Clearing your backlog

Old invoices can be part of the 60 days: invoices past due over 90 or 180 days, unresolved disputes, and customers with no recent contact. Each one gets an owner, an action and an outcome, and the final report shows what came back and what should be closed.

What we need from you

A program owner
your VP of Sales, controller or CFO, named at kickoff.
Your reports
Your AR aging export and cash receipts report, every week, from NetSuite, Dynamics, Epicor, SAP Business One or any ERP, as Excel.
Who owns what
which customers each person looks after.
Up to 5 management and finance users
for the weekly recap, escalations and the full tracker.
One-time IT approval
Microsoft 365 access so tasks can be created in Outlook To-Do. About an hour of your IT team’s time.
A 30-minute weekly review
attended by your program owner.
Your team
about 20 minutes a week to approve their list, then mark tasks complete in To-Do as they work.

How we will measure success

What we measure and report to you

Starting position recorded in week 1

  • Share of invoices with an action completed each week
  • Payment commitments made, and kept
  • Collected against due, each week
  • Past due by aging bucket at day 1, day 30 and day 60
  • Disputes found and sent to the right person

Success measures agreed for this program

  1. 1

Every owner receives the collections list every Monday for 8 weeks.

  2. 2

At least 80% of invoices in scope have an action completed each week.

  3. 3

Every payment commitment is recorded and checked on its date.

  4. 4

Past due over 90 days is lower at day 60 than at day 1.

What you can count on

  • Live in about a week. 5–7 hours of your IT team’s time. We do the setup.

  • Nothing reaches a customer without your approval. Every email comes from your templates, and your team approves it.

  • Your data stays in your environment. It is not used to train AI models, and access can be revoked at any time.

  • Success measures agreed on day one. You see progress every week, and a full report at day 30 and day 60.

  • Nothing new for your team to learn. Actions arrive in the Outlook To-Do they already use.

  • Start small. Start with your first 500 items. Keep every report, whatever you decide.

Your questions, answered

Actions arrive in the Outlook To-Do they already use, and approval takes about 20 minutes a week. Usage is reported every week, so you see it early.

  • Another desk, working on the same data
  • You choose whether your team keeps working from Outlook To-Do or from the CRM

After 60 days

  • Continue: move to the annual desk at your volume. The weekly cycle keeps running without a break.
  • Stop: you keep the final report and all lists and trackers. Our access ends, and your data is deleted within 30 days.

Your data, and what we don’t do

  • We read only what you share, and use it only for this program.
  • Your data is not used to train AI models.
  • We never change anything in your ERP, and never place or release a credit hold.
  • Disputes and credit decisions stay with your team.
  • We contact your customers only through messages your team has approved.
