RESPOND Feature Guide

Answer every RFQ faster, and better.

Paste an inbound enquiry. Get a fully-informed draft reply in seconds.

What RESPOND does

Three systems checked. One reply drafted. In one step.

When a customer sends an RFQ or technical question, your rep normally needs to check the product catalog, cross-reference the price list, verify lead times in the ERP, and then draft a coherent reply — across three different systems. RESPOND does all of that in a single step, so reps spend time selling rather than researching.

  • Analyses inbound enquiries and RFQs in any format
  • Matches customer requirements to your product catalog automatically
  • Flags what it can answer with confidence and what needs human review
  • Drafts a ready-to-send reply in your house style
  • Surfaces cross-sell and upsell opportunities in the same analysis

How to use it

Paste the enquiry. Send the reply. Six steps, under two minutes.

RESPOND works with any inbound enquiry — email, WhatsApp, web form, or a photograph of a fax. If the text is there, Salezx can analyse it.

01

Receive the enquiry on any channel

Email, WhatsApp, web contact form, LinkedIn message — wherever the customer wrote to you.

02

Copy and paste the enquiry text into Salezx

Open the Salezx web or mobile app and paste the full enquiry. No need to reformat or summarise — paste it as-is.

03

Salezx reads the requirements and matches your catalog

The AI extracts specs, quantities, certifications, and delivery requirements from the enquiry text, then searches your indexed product catalog for the best matches.

04

Review the analysis

You see: which products match and at what confidence, the pricing range from your current list, any flags for missing information, and upsell or accessory suggestions.

05

Click "Generate reply" for a ready-to-send draft

Salezx writes a professional reply using the analysis. It addresses each requirement in the enquiry, cites the right product, and flags anything that needs a follow-up call.

06

Edit if needed, then send to the customer

The draft is yours — edit the tone, add context specific to the account, or send as-is. RESPOND gives you a starting point that is already 90% done.

What Salezx analyses

Every dimension of the enquiry, surfaced in one card.

RESPOND does not just match a product name. It reads the full requirement and gives you the complete picture — including what you cannot yet answer and why.

Product Match

Exact-fit models ranked by confidence score. Compatible alternatives when the first choice is out of stock or over-spec. A clear note on what does not fit and why — so you can have an honest conversation with the customer instead of promising something wrong.

Pricing

List price from your current price book. Applicable trade scheme or customer-tier pricing if your ERP is connected. Estimated landed cost for export enquiries. If the customer has asked for a volume discount, Salezx surfaces the standard tier structure so you can respond in the same email.

Technical Requirements

Certification match (CE, ISO, ATEX, BIS). Configuration notes — if the customer specifies a non-standard option, Salezx flags it so you can confirm with the factory. Lead times from your catalog or ERP stock levels if integrated. Accessories and consumables that are typically bundled with the requested product.

Flags & Missing Information

Questions to ask the customer before committing — site conditions, power supply specs, regulatory requirements by country. Information missing from the enquiry that affects the price or lead time. Risk flags if the delivery deadline is tight given current production schedules.

Tips for best results

Get the most out of RESPOND.

RESPOND is only as accurate as the data behind it. These four practices make a meaningful difference to the quality of the analysis.

01

Keep your product catalog current

RESPOND draws directly from the documents you have uploaded to Salezx. If your catalog was updated last month and you have not re-uploaded it, the analysis will reflect old specs and prices. Schedule a monthly document refresh — it takes five minutes and makes every analysis more reliable.

02

Paste the full enquiry, not a summary

Do not paraphrase the customer's requirements before pasting. The original text often contains context — the customer's site conditions, their current equipment, their timeline — that a summary strips out. Salezx reads the full message and extracts what matters.

03

Connect your ERP for live pricing and stock

Without ERP integration, RESPOND uses the price lists in your documents. With ERP connected, it pulls live list prices, customer-tier pricing, and current stock levels — so the analysis reflects what you can actually deliver today, not what was accurate when the price list was printed.

04

Review flags before sending

RESPOND flags anything it cannot confidently answer — a non-standard configuration, a certification it cannot verify, a delivery date that looks tight. These flags are there to protect you. Do not dismiss them; treat each one as a question to resolve before the reply goes out.
